Springfield Police Department Records

The Springfield Police Department Clerk's Office handles public records requests for police reports, incident reports, arrest logs, and accident reports. The office is at 130 Pearl Street and is open Monday through Friday from 8:00 AM to 3:30 PM. Call (413) 787-6302 to reach the Clerk's Office directly before you visit.

State law requires agencies to respond to public records requests within 10 business days under MGL c. 66, § 10. Electronic copies are free if the record already exists in digital form. Paper copies cost $0.05 per page. Staff must provide the first two hours of search time at no charge. Anything beyond two hours runs $25 per hour.

The department also maintains a publicly accessible arrest log at www.springfield-ma.gov/police. The log runs on a seven-day rolling archive and is updated daily. Each entry shows the name of the person arrested, the date, charges filed, and case status. This log is public by law under MGL c. 41, § 98F, which requires all police departments to keep logs available for public inspection.

How to Request Springfield Police Records

In person, go to the Clerk's Office at 130 Pearl Street. Fill out a request form, show your ID, and pay any applicable fees. Staff can tell you whether the record you need is available and how long it will take to prepare.

By mail, send your request to: Attn: Clerk's Office, Springfield Police Headquarters, 130 Pearl Street, Springfield, MA 01105. Include the date of the incident, the location, the names involved, any report number if you have it, and your preferred format for receiving the record. Include a return address and phone number.

Online requests go through the City of Springfield's public records portal. Submit your request electronically, and you will receive a tracking number you can use to check status. This is often faster than mailing a request. Requests sent online still follow the same 10-day rule under MGL c. 66, § 10.

Note: Active investigation files, juvenile records, victim and witness contact information, and certain internal records are not releasable. If your request is denied, you have the right to appeal to the Massachusetts Secretary of State's Public Records Division.

Hampden County Courts

Criminal cases in Springfield are filed in the Hampden County court system. The Hampden County Superior Court is at 50 State Street, Springfield, phone (413) 731-7000. It handles felony cases, grand jury indictments, and appeals from district court. The Springfield District Court, also at 50 State Street, phone (413) 748-8600, handles misdemeanors, arraignments, and lesser offenses.

Both courts are part of the Massachusetts Trial Court system. Court dockets are publicly searchable at masscourts.org. You can find case status, hearing dates, charges, and outcomes by searching a defendant's name or docket number. Records for older, paper-only cases may not be available online, and a visit to the clerk's office may be needed to get those.

The clerk's office at each court can provide certified copies of docket sheets, charging documents, and judgments. Fees for certified copies vary. Bring a photo ID when you visit and ask staff about copy fees before requesting a large number of documents.

Hampden County Sheriff and Inmate Records

The Hampden County Sheriff's Department is at 627 Randall Road, Ludlow, MA 01056, phone (413) 858-0000, website www.hdshq.com. The department runs the county jail and house of correction, which holds pretrial detainees and sentenced inmates serving terms of up to 2.5 years.

Inmate searches for Hampden County can be done through the sheriff's website. For individuals sentenced to state prison, use the Massachusetts Department of Correction inmate search. State inmates serve sentences over 2.5 years and are housed in state facilities rather than county jails.

CORI and Criminal History Access

Massachusetts tracks criminal history through the CORI system. Under MGL c. 6, § 167, CORI records include arrests, charges, and case outcomes for people 18 and older. The state Department of Criminal Justice Information Services maintains the database, and access is controlled by the type of entity making the request.

Under MGL c. 6, § 172, how long a record appears on a background check depends on the outcome. Non-conviction records, where no guilty finding was entered, are available for immediate sealing. Misdemeanor convictions stay visible for five years. Felony convictions stay for 10 years. After those periods, the record does not appear on standard CORI background checks.

Springfield residents can check their own CORI at no cost through www.mass.gov/icori. The iCORI portal is a self-service tool that shows your full criminal history record as the state has it on file. This is a good way to find out what, if anything, is visible about you in background checks before applying for anything that requires one.

Sealing and Expungement in Springfield

Sealing removes a record from public view without destroying it. Under MGL c. 276, § 100A, you can petition to seal a misdemeanor after three years and a felony after seven years. The waiting period runs from the date of conviction or release from custody, whichever is later. Once sealed, the record does not appear in iCORI results for most background checks.

Non-conviction records, including dismissed charges and cases where you were found not guilty, can be automatically sealed under MGL c. 276, § 100C. There is no waiting period for non-convictions. If the case was resolved without a guilty finding, that record should not appear on standard background checks once the court processes it.

Expungement is a separate process that actually destroys the record. It is available for a narrower set of cases under MGL c. 276, §§ 100E through 100U. Eligibility generally requires that the offense be a first-time, low-level crime, that a certain amount of time has passed, and that you have not had other criminal cases. A lawyer can help you figure out if you qualify.

District Attorney Records

The Hampden County District Attorney is Anthony D. Gulluni. The office is at 50 State Street, Springfield, phone (413) 747-1000, website www.hampdenda.com. The DA prosecutes felony and serious misdemeanor cases across Hampden County, which covers Springfield, Chicopee, Holyoke, and other nearby communities.

Case records from DA-prosecuted cases are part of the public court record. Look them up through the Superior Court docket at masscourts.org or visit the Superior Court clerk's office at 50 State Street. Charging documents, plea records, and sentencing orders are generally public unless the case involves juvenile defendants or sealed matters.

Third-Party Arrest Record Resources

Third-party aggregators also compile Hampden County criminal records. The site hampdenrecords.us/arrest-records pulls from public court filings and public record data for the Springfield area. These sites can be useful as a first search step, but they are not official sources and may not reflect recent updates like sealings, dismissals, or new charges.

Always confirm what you find through official channels. The MassCourts portal, the police department's public log, and the CORI system are the authoritative sources for criminal record information in Massachusetts.

Sex Offender Registry

The Massachusetts Sex Offender Registry Board lists Level 2 and Level 3 offenders in a public database at www.mass.gov/sorb. You can search by name, city, or zip code. Springfield has a significant number of registered offenders due to its population size. Level 1 offenders are not included in the public search. The registry is updated as registrations change.

Domestic Violence Reports

Note: MGL c. 41, § 97D makes domestic violence police reports non-public throughout Massachusetts. Springfield Police follow this rule. If you need access to such a report for a court case, your attorney must obtain it through the court process rather than through a standard public records request.
